Exhibitions Manager (m/w/d)

POSITION SUMMARY
Our Exhibitions Manager has the overall operational responsibility for ensuring that the planning and implementation of assigned exhibitions run smoothly. This includes managing all practicalities regarding shipping, printing, framing, unpacking, installation, exhibition design, communication, and programming around the exhibition in an efficient and professional way. The Exhibitions Manager reports directly to the Director of Exhibitions at Fotografiska Berlin.
MAIN RESPONSIBILITIES
Exhibition planning phase
- Take meetings with photographers, curators, galleries, other parties in connection with the exhibition.
- Be the main point of contact during the planning of the exhibition with the photographer / gallery / other parties in connection with the exhibition.
- Help finalize the exhibition contract, when needed.
- Curate and produce exhibitions from A to Z; manage the production of the exhibition, printing, framing, graphic designers, writers, etc.
- Book and be the contact person for external consultants including designers, painters, art handlers, external writers or curators, shippers, AV specialists, carpenters, etc.
- Handle the procurement of production and transport suppliers and report to the Director of Exhibitions. Ensure that the selected supplier keeps within negotiated budget.
- Set up a detailed timeline, including deliverables and deadlines, for assigned projects and make sure to follow the schedule.
- Manage and update the budget tracker and spreadsheet. Make sure the Director of Exhibitions is aware if any items that are over budget.
- Update/create a checklist of all exhibited works for Fotografiska Berlin. The list should include thumbnail images, title of the work, size, frame, year, insurance value for the individual work and if applicable: location and other relevant details regarding loans.
- Create layout/ exhibition plans (SketchUp).
- Create floor plan indicating paint wall colors and graphics.
- Proofread all relevant texts from external consultants and/or write own texts.
- Collaborate with the Marketing & Communications Departments to write the press release and organize / clear press image permissions with the artist.
- For local exhibitions, brainstorm with the Director of Exhibitions for ideas regarding design and presentation: suggest wall colors, proposal for curation and hanging, any reconstruction, etc. The Exhibition Manager is responsible for executing the exhibition production, but the Director of Exhibitions has the final say in all decisions.
- Participate in operations meeting and communicate key upcoming exhibition dates or events with other departments.
- Participate in weekly department meetings.
Exhibition execution phase
- Coordinate and assist the install crew and provide them with what they need, including an installation/ deinstallation schedule and plan.
- Responsible for all logistics: receive, sign off and unpack all the transported works.
- Do condition reports for all the works during install.
- Book flights and hotel for artist/studio for the opening and provide the artist with an itinerary for the press preview and opening.
- Plan the shipping logistics for deinstall: condition check, pack the works and ensure the quality of the packing and wrapping.
- Organize installation photos with the marketing team. Be on site for the shoot and send images to artist for approval.
- Ensure vendors are paid and record in the budget.
- Gather all relevant exhibition information to be archived and update the international exhibition kit.
Programming and Events
- Represent Fotografiska Berlin during openings, events and programming.
- Coordinate “Artist Talks” with artists and assist with execution of the event.
- When requested by the Director of Programming and Director of Exhibitions, be an active participant in programming, such as moderate, introduce or speak in public.
REQUIREMENTS
- 3+ years direct experience working on art exhibitions in a museum, gallery, or art-related setting.
- 4-year Bachelor’s degree, Master’s degree a plus.
- Strong communication and writing skills - in German and English
- Strong project management skills and ability to run exhibition on their own from beginning to end.
- Be proactive, anticipate problems and propose solutions to the Director of Exhibitions and larger team.
- Must be a team player and collaborate in a productive manner. A positive, prestigeless, hands-on can-do attitude, responsible, reliable, and accountable.
- Strong interest and understanding for the Fotografiska brand, our vision and our culture.
- Active and knowledgeable about the broader cultural landscape—attend gallery and museum shows, read up on art news, and be engaged in the community.
