The Role
The Front of House Operations Coordinator plays a key role in ensuring smooth daily operations across Front of House, operations, handling logistics and shared spaces at Fotografiska Berlin. This position combines operational coordination, facility oversight acting as a central point between internal teams and service providers.
The role requires strong organisational skills, hands-on operational support, and a proactive mindset to maintain high standards across visitor-facing and back-of-house environments.
Key Responsibilities
Front of House & Public Space Operations
Conduct regular FOH touch-ups to ensure presentation, cleanliness, and readiness throughout operating hours
Perform exhibition hall touch-ups to maintain visual and spatial standards
Oversee toilet touch-ups in coordination with our Housekeeping Supervisor
Support overall guest experience through continuous space monitoring and issue resolution
Receiving & Logistics
Manage package receiving
Track, document, and report received packages
Support the drafting and maintenance of Standard Operating Procedures (SOPs) related to receiving and logistics
Coordinate logistics with GEX and Retail, including:
Restocking
Ordering
Inventory checks
Access Control & Compliance
Act as Work Permit Controller
Ensure daily sign-ins and sign-outs are completed correctly
Manage access-related SOPs, including:
Badges
Keys
Visitor and contractor access documentation
Locker Management
Serve as Locker Key Holder, responsible for:
Daily locker checks
Resetting and troubleshooting locker issues
Reporting malfunctions or misuse
Support the development and upkeep of locker-related SOPs
Security & Cleaning Coordination
Act as Security Team Lead, including:
Scheduling and shift planning
Recruitment support
Day-to-day coordination
Oversee cleaning reporting, ensuring standards are met and issues are escalated appropriately
Visual Merchandising & Retail Support
Support VM interior construction projects in collaboration
Provide Retail Operations assistance, including:
Event set-up and dismantling
Operational support during peak times or special events
Skills & Experience
Experience in operations, facilities management, hospitality, or cultural institutions preferred
Strong organisational and coordination skills
Ability to manage multiple operational areas simultaneously
Comfortable working with SOPs and process documentation
Leadership experience or readiness to take on team coordination responsibilities
Hands-on, solution-oriented mindset
Strong communication skills in a cross-functional environment
Languages: Fluent in German (C1), English an advantage
